1. Who we are
ProposalPilot (“ProPil”, “we”, “us”) is operated by MB KP Investments, a company registered in Lithuania. MB KP Investments is the data controller for personal data processed through this service and decides why and how that data is used. You can reach us at info@kpfunnels.com.
2. Personal data we collect
- Account data — name, email address, login credentials (stored hashed), and authentication identifiers if you sign in with Google.
- Content you provide — proposal drafts, funder call documents, project notes, organisational background, evidence and sources you upload or type into the six-pillar workflow.
- Support and feedback data — messages you send us, beta feedback responses.
- Usage and technical data — pages viewed, feature and AI usage counters, credit transactions, device and browser information, IP address, and error logs.
- Subscription data — plan, status and renewal dates. Card and billing details are collected and processed by Paddle, not by us.
3. Why we use it, and our legal basis
- Providing the service (accounts, drafting workflow, AI features, credits, exports) — performance of our contract with you.
- Customer support — performance of contract and our legitimate interest in helping users.
- Security, fraud prevention and abuse detection — legitimate interests and legal obligation.
- Product improvement and aggregated analytics — legitimate interests.
- Marketing emails — consent, which you can withdraw at any time.
- Accounting, tax and legal records — legal obligation.
4. AI processing
When you use an AI feature, the relevant content you supplied is sent to our AI model providers solely to generate output for you. We use paid API tiers whose terms prohibit using your content to train their models. AI providers act as our processors.
5. Who we share data with
- Service providers / subprocessors — hosting and database infrastructure, email delivery, AI model providers, web-search providers, and error monitoring.
- Merchant of Record — Paddle.com Market Ltd, which sells the subscription to you and handles payments, subscription management, invoicing, tax compliance and billing support.
- Professional advisers — legal and accounting advisers, where necessary.
- Authorities — where we are legally required to disclose.
We do not sell personal data.
6. International transfers
Some of our providers are located outside the EEA/UK. Where that happens, transfers are covered by an adequacy decision or by the European Commission’s Standard Contractual Clauses, together with appropriate technical safeguards.
7. Retention
We keep account and content data for as long as your account is active. If you delete your account, we delete or anonymise your content within 30 days, except where we must keep records longer for legal, tax or dispute-resolution purposes (typically up to 10 years for invoicing records held by our Merchant of Record).
8. Your rights
Under the GDPR you may request access, rectification, erasure, restriction, portability, and object to processing based on legitimate interests. You may withdraw consent at any time. Contact info@kpfunnels.com — we respond within one month. You may also complain to your supervisory authority; ours is the Lithuanian State Data Protection Inspectorate (VDAI).
9. Security
Data is encrypted in transit and at rest. We use row-level access controls so each account can reach only its own data, restrict administrative access to a small number of people, and log AI and credit operations.
10. Cookies
We use essential cookies and local storage to keep you signed in and to operate checkout. We may use limited analytics storage to understand aggregate usage. We do not use advertising cookies. You can clear or block cookies in your browser, though sign-in will not work without essential cookies.
11. Changes
We may update this notice. Material changes will be announced in-app or by email before they take effect.
